We are proud to welcome students and instructors (hospital/inpatient, clinic/ambulatory, home health/continuing health) to Advocate Health Care and Aurora Health Care for clinical studies.

Note: The Continuing Health (Home Health) division focuses on the promotion of self-management in the community.

Illinois hospital/inpatient students

Illinois pre-licensure precepted students (i.e., capstone)

Pre-licensure student Requirement: An attestation in mCE must be completed within 7 calendar days of the clinical start.

Clinical site evaluation

Students - myClinicalExchange (mCE) will send student reminder emails a week before the clinical ends, the day the clinical ends and a week later. It is integral the students complete the evaluations.

The student must login to mCE to complete the survey. It will be on the right side of their screen.

Preceptors – will continue to complete their evaluations on the Preceptor Resource page.

RN to BSN, MSN, and DNP (Doctor of Nursing Practice) project information

If you are a student with a project, please review the requirements on the project information page.

Any DNP project conducted at an Illinois Ambulatory site will need to be discussed with Brenda Madura, Director of APCs prior to approval. Brenda can be contacted at brenda.madura@aah.org.

Orientation Process for students and instructors

Step 1. All Advocate Health Care and Aurora Health Care student compliance and clearance will be completed in myClinicalExchange (mCE)

Step 2. Completing Orientation Requirements in Workday [PDF] - This document will identify additional orientation information such as Orientation Modules, and epic training programs.

Network ID, Epic, and Pyxis Access

You will be granted access approximately 2-3 weeks after you have completed the checklist in myClinicalExchange. After access is given, you will complete courses in Workday, including Epic training if applicable (see the Workday section below).

Network ID and Epic access will be requested for instructors and students; Pyxis access will be requested for instructors only(see the guides below).

Please ensure students and instructors complete registration in myClinicalExchange 4 weeks before the start date. Accounts will only be pulled to the report for access when the compliance is complete The start date for access must be the first date at the clinical site.

Email ASC-ClinicalAffiliations@aah.org if you are transitioning from a student/instructor role to an employee or from an employee to a student/instructor role. Your access will be impacted.

Once the Network ID is created, change the password and sign confidentiality. If you are a returning student/instructor change your password each semester (if needed, contact our team for the password to this document).

Advocate Health Care and Aurora Health Care Employees (Teammates)

  • (Wisconsin) If you are a teammate and student/instructor your Network ID account will remain the same. However, your Epic account will have an "A" at the end of your login number for your student/instructor role. Do not use your Epic employee account when here as a student/instructor.
  • (Both states) If you are a Nurse Practitioner and instructor, you will be provided a separate Epic login number as an instructor.
  • (Illinois) If you are a teammate and student/instructor your Network ID account will remain the same. If a nursing student works as a certified nursing assistant, technician, etc., they will be provided a separate Epic login number as a nursing student. Do not use your Epic employee account when here as a student/instructor.
  • (Illinois) If you are an RN teammate and instructor, you will utilize the same Epic access for both roles.

Workday access and courses

Non-employees: The username for Workday is the Network ID a, b, c, d, or n number. A temporary password will be sent via automated email.

Reactivated accounts: A temporary password will be sent via automated email. If you do not recall your username, please call the Service Desk. The Epic program is not automatically assigned to returning students and instructors. If the Epic program was not completed prior, search for the course and enroll.

Program title: Epic Student Nurse and Faculty Program

The password for Workday is not the same as the password for Epic and does not reset when the Epic password is reset.

Online Epic training modules at Advocate Health Care and Aurora Health Care are required before using Epic. Courses must be completed individually. Epic access is not allowed for RN to BSN, MSN, and DNP student projects.

If a student or instructor has an exposure or injury while in our organization:

Contact Teammate Health immediately:

Seek medical attention as directed by your school/employer policy. If medical care is provided, the individual or their employer is responsible for any financial costs incurred.

Safety event

If a safety event occurs, please follow the instructions below:

  1. Safety event occurs:
    1. Potential categories: patient identification, fall, food and nutrition, infection prevention, IV/Lines/tubes/drains, medication event, etc.
  2. Next step:
    1. Partner with appropriate teammate/charge nurse to complete electronic safety event form the same day of clinical.
  3. Final step:
    1. Instructors/preceptors notify the site clinical placement specialist and shared email address as soon as possible.
